Terms of service
Clear expectations for a connected business.
Last updated: June 2026
1. The agreement
These terms cover Roundhouse’s business software and authorized users. The contracting Roundhouse entity is identified in your accepted order or service agreement. An accepted order form identifies the customer, services, subscription period and commercial details. A separately signed agreement prevails where it expressly conflicts with these terms. Browsing this marketing site does not create a paid subscription.
2. Accounts and authorized users
You must have authority to bind your business, provide accurate account information and keep your contact and billing details current. You are responsible for assigning appropriate permissions, protecting credentials, removing former users and notifying support about suspected unauthorized access. Users must act within the authority their organization gives them.
3. Your business and participants
Roundhouse provides software. You remain responsible for your services, staff, course requirements, participant safety, certificates, taxes, consumer disclosures and booking policies. Your customers contract with your business for its courses or classes. Refunds and disputes about those services should be handled by your business. A record or AI insight is not a guarantee of accreditation, regulatory compliance or participant competence.
4. Subscription and booking fees
Published pricing remains $99 per month plus a 3–5% online booking fee based on booking volume, with no booking fees on offline bookings and no setup fees. Merchant credit card fees are separate. You may absorb the online booking fee or pass it to guests, subject to appropriate disclosure and applicable requirements.
Your accepted order must state the currency, applicable taxes, assigned rate, fee calculation and billing arrangements. Refund treatment, renewal and cancellation arrangements must be disclosed before acceptance. No additional usage charge may be imposed merely by referring to the fair-use provision below.
5. Included usage and fair use
AI usage is included for ordinary, legitimate operation of your business through Roundhouse. Fair use is intended to prevent abuse and preserve reliable service, not penalize genuine business growth.
Prohibited use includes reselling access as a general-purpose AI service, running unrelated bulk processing, creating artificial traffic or repeated unnecessary requests, evading safeguards or rate limits, account farming, spam, scraping without authorization, and activity that materially disrupts other customers.
Where usage appears abusive or threatens service reliability, we may investigate, apply proportionate rate limits, pause the affected function or request changes. Where reasonably possible, we will explain the issue and allow you to resolve it. Immediate restrictions may be necessary for an active security threat or serious disruption. Legitimate high-volume requirements should be discussed with us. Any separately priced service requires disclosure and agreement before charges apply.
6. AI outputs and automation
AI assists with analysis, drafting, booking conversations, planning and forecasts. Outputs can contain errors and do not replace professional judgment. You are responsible for reviewing important outputs, checking source records and configuring any automated actions appropriately. Do not rely solely on AI for safety-critical, employment, certification, fraud or legal decisions. Revenue, savings, conversion rates and forecast accuracy are not guaranteed.
7. Acceptable use
Do not use Roundhouse for unlawful activity, harassment, deceptive communications, malicious code, unauthorized access or infringement of another person’s rights. Do not falsify certificates or records, interfere with service operation or attempt to bypass access controls. Obtain the permissions needed for participant and staff data, and for promotional email or SMS. Respect unsubscribe requests and third-party service terms.
8. Customer data and intellectual property
You retain your rights in the business content and records you provide. You authorize Roundhouse to process that content as necessary to supply and support the agreed services, subject to the applicable privacy and data-processing terms. You must have the right to provide it. Roundhouse retains its rights in the platform, brand and underlying software. Subscription access does not transfer ownership of the software.
Confidential business information must be used only for the agreed relationship and protected against unauthorized disclosure, except where disclosure is authorized or legally required.
9. Payments and integrations
Payment processors and other integrations have their own terms and operational requirements. You are responsible for your merchant account, transaction disputes and connected-service permissions. Roundhouse’s software does not replace your obligations to those providers. Changes or outages in external services may affect connected features.
10. Availability and changes
Maintenance, updates and technical problems may interrupt access. No specific uptime guarantee, recovery time or support response commitment applies unless agreed in writing. Material changes affecting an accepted subscription should be communicated in advance where practicable. Your order determines which services and features are included.
11. Cancellation and suspension
The accepted order must specify renewal, notice, cancellation, refund and data-retrieval arrangements. Contact accounts@Roundhouse.app for billing or cancellation assistance. Access may be restricted for serious misuse, a security risk or unpaid agreed fees, with notice and an opportunity to resolve the issue where appropriate. Termination does not remove amounts already properly owed or obligations intended to survive.
Arrange retrieval of required business records before access ends. Your service agreement identifies the available export process and retention or deletion periods. Storage is not indefinite.
12. Warranties, responsibility and disputes
To the extent permitted by applicable law, services are provided without a promise that they will be uninterrupted, error-free or suitable for every particular purpose. Nothing in these terms removes rights or remedies that cannot lawfully be excluded.
Any separately agreed liability limits, exclusions, indemnities, governing law and dispute provisions are set out in your accepted service agreement. Contact us with a concern so we can work to resolve it.
13. Changes and contact
Material changes to accepted terms will be communicated before they take effect, except where an immediate change is required by law or to address a security issue. An update to this page does not amend an existing signed agreement.
